The Daily Time Cards page is used to track employees' time cards and determine the payable hours for the day. This information can then be exported to the payroll package that you use, for processing.

Depending on the time card entry system that you use, these details may be transmitted to CLEARVIEW automatically or may have to be entered manually.
The page begins with a filter Drop-down boxes that let you select from the options available. that you can use to select the Area*, Store and Date for which you'd like to view (or update) the time cards as well as whether you'd like to view the time cards by calendar day 12 midnight of one day to 12 midnight of the subsequent day. or business day The end of day (as set in Stores settings) of one day to the end of day of the subsequent day. For example, if the end of day set in the Stores settings is 9 pm, 9 pm Monday to 9 pm Tuesday will be considered as a business day..
The following information is displayed on the page:

Employee: The name of the employee for whom the time card was logged.
Clicking on the name of an employee will open the electronic employee file.

Job: The job for which the time card was logged (this will determine the pay rate).

Type: The type of time card (regular, overtime, statutory holiday pay, etc.).

Time In: The weekday and time at which the employee clocked-in The recorded time at which an employee started work..

Time Out: The weekday and time at which the employee clocked-out The recorded time at which an employee ended work..
-
Payable Hours: The total hours that are payable to the employee after deducting non-payable breaks.

Flags: Indicates actions performed on the time card.

M: The time card was manually created in CLEARVIEW.

A: The time card has been adjusted or changed after it was imported.

B: The time card includes a break.
-
RO: The pay rate was overridden for the time card.
-
T: A TimeShark specific flag, the time card was automatically truncated as per the duration set.

P: A TimeShark specific flag, since the employee didn't clock-out The recorded time at which an employee ended work. within the buffer provided, the time card was automatically clocked-out The recorded time at which an employee ended work. to enforce the schedule.

Days that are designated as statutory holidays (stat days Day(s) marked as statutory holidays.) include three additional buttons on the page:

Recalculate current cards*: Recalculates the time cards displayed on the page based on changes made (if any).

Generate Statutory Pay Records*: Creates the stat pay time cards if:

The day was not set as a stat day Day(s) marked as statutory holidays. in advance, but was created after the end of day Completion of end of day tasks on the POS which results in EOD markers sent to Clearview., and

The Stat Generation control is set to Manual.

In case a day was not set as a stat day Day(s) marked as statutory holidays. in advance, follow the steps below:

Click on the Generate Statutory Pay Records button to apply the stat pay rate to the time cards.

Click on the Re-calculate current cards button to ensure that the payable hours and total takes into account the changes.

TO MANUALLY ADD A TIME CARD:

Open the Daily Time Cards page.

Select the Area*, Store and Date, for which you want to add the time card, from the drop-down lists.

Click on the Go button.

Click on the Create button.

In the Time Card Entry window:
-
Select the Employee from the drop-down list.
The Time Card Entry page will automatically expand to display additional fields.

If the employee holds more than one job in the store, select the job for which you are creating the time card from the Job drop-down list.

Select the type of time card being created from the Card Type drop-down list.

Enter the Clock-In and ClockiOut time.

If you want to override the normal pay rate select the Pay Type and enter the rate.

Click on the Create button.

TO EDIT A TIME CARD:

Open the Daily Time Cards page.

Select the Area*, Store and Date, for which you want to edit the time card, from the drop-down lists.

Select the day by which you want the time cards displayed from the Show Card By drop-down:

Calendar Day - Time cards are mapped to the calendar day 12 midnight of one day to 12 midnight of the subsequent day. (i.e. from 12 midnight to 12 midnight).

Business Day - Adayis the end of one business day The end of day (as set in Stores settings) of one day to the end of day of the subsequent day. For example, if the end of day set in the Stores settings is 9 pm, 9 pm Monday to 9 pm Tuesday will be considered as a business day. to the next.

Same as Time Card Summary - Either calendar day 12 midnight of one day to 12 midnight of the subsequent day. or business day The end of day (as set in Stores settings) of one day to the end of day of the subsequent day. For example, if the end of day set in the Stores settings is 9 pm, 9 pm Monday to 9 pm Tuesday will be considered as a business day. based on the option set for the Time Card Summary Report.

Click on the Go button.

Click on the Update button next to the employee for whom you want to edit the time card.

In the Update Time Card window:

Select a reason for the edit from the Change Reason drop-down list (use the text-box below to add comments, if any).

Make the changes as required.

Click on the Update button.

Only time cards of the past 90 days can be modified.

TO DELETE A TIME CARD:

Open the Daily Time Cards page.

Select the Area*, Store and Date, for which you want to edit the time card, from the drop-down lists.

Select whether you want the time cards displayed by Calendar Day or Business Day from the Show Card By drop-down list.

Click on the Go button.
-
Click on the Update button next to the employee for whom you want to delete the time card.

In the Update Time Card window:

Click on the Delete button.
-
Click on the OK button in the confirmation request pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..

Only time cards of the past 90 days can be deleted.
To view all the deleted time cards for the day (if any), click on the View details of the deleted time cards button.
