This page lists out all the transfers created in CLEARVIEW, along with basic information and the Status of the transfers. Here you can view, edit, delete, approve, repay and reopen past transfers.
The following information is displayed on the page for the Involving Store, Transfer Type and Status selected using the filters Drop-down boxes that let you select from the options available. at the top of the page:
Selecting Default from the Status drop-down list in the filters Drop-down boxes that let you select from the options available. will display the Completed transactions of the last week and all Balance Owing, In Progress and Pending Approval transactions.

Transfer #: The reference number automatically generated to identify the transfer.

Transfer Date: The date on which the items were transferred.

Initiated By: The store that created the transfer.
-
Transfer Type: The type of transfer.

Send Store: The store that transferred items out of the store.

Receive Store: The store that received the transferred items.

Status:
-
In Progress: The transfer was created in CLEARVIEW but was not sent/closed.
To complete the transfer, open the transfer and click on the Send for Approval* or Close Transfer* button.

Pending Approval: A transfer to an internal store that was created and is awaiting approval from the other store.

Refused: A transfer that was refused by an internal store. Check the memo section for the reason why the transfer was refused.
A refused transfer can be edited and sent for approval once again if required.

Completed: An external transfer that was closed or an internal transfer that has been approved.

Balance Owing: A tracked transfer (lend/borrow) that's pending repayment.

Total: The total value of goods included in the transfer record.
TO VIEW THE DETAILS OF A TRANSFER:

Open the List Current Transfers page.

Click on the Transfer # of the transfer that you want to view.
Only internal transfers have a two-step process where the second store needs to approve the transfer to complete it.

Click on the Transfer # of the transfer that you want to approve/refuse.
Transfers that require approval will have the Status as Pending Approval.

In the Update Transfer window:

Enter any notes for internal use in Memo if required.
This field is mandatory if the transfer is being rejected.

Click on the Approve or Refuse button to approve or reject the transfer, respectively.

Once a transfer request is Approved, the stock level of the inventory items/supplier products included in the transfer for the store that approved the transfer will be adjusted for the quantity transferred.
TO REPAY A TRANSFER WITH AN INTERNAL STORE:

Open the List Current Transfers page.

Use the filters Drop-down boxes that let you select from the options available. to find the transfer you're looking for, if required.

Click on the Transfer # of the transfer you want to repay.
All transfers that are pending repayment will have the Status as Balance Owing.

Click on the Create Repayment button in the Update Transfer window.

In the Create Transfer window:

Enter any notes for internal use in Internal Memo if required.

Click on the Create button.

Click on the Request Approval button.

You can also repay a transfer from the List Outstanding Transfers page or by creating a new transfer from the Create Transfer page.
TO REPAY A TRANSFER WITH AN EXTERNAL STORE:

Open the List Current Transfers page.

Use the filters Drop-down boxes that let you select from the options available. to find the transfer you're looking for, if required.

Click on the Transfer # of the transfer you want to repay.
All transfers that are pending repayment will have the Status as Balance Owing.

Clicking on the Close button will close the transfer window but will not complete the transfer. If you happen to close the transfer window, you will have to edit the transfer and complete it by clicking on the Close Transfer button.

Place a checkmark in the Remove column of an item if you want to remove the item.

To add more items:

Click on the Add Products* button for finished goods or look up the raw materials using the Search* bar.

In the Add Transfer Items*/Add Products to Transfer* window:

Enter the Quantity* of the finished product or raw material being transferred as per each method in the Transfer* column.

Per Method #1, #2 and #3 are the package sizes in which item is stored, with Per Method #1 being the biggest unit (for example, a case of tomatoes), Per Method #3 being the smallest unit (for example, each tomato) and Per Method #2 being any units that may be in between (to illustrate, if the case of tomatoes contains 24 boxes, box would be the Per Method #2 for tomatoes).

Items highlighted in red are those currently inactive at one of the stores involved in the transfer. If any of those items are added to the transfer, you will be prompted to activate them before you can complete the transfer. If you wish to proceed with the activation, click on the OK button, else click on the Cancel button, remove the affected items and request approval again.
