Here's where you can generate and view preparation (prep) charts - charts that provide you with the quantity of inventory and menu items that need to be prepped for assembly/cooking.

Prep figures can be included in Production Charts. If your organization or store uses production charts and includes prep time, you don't need to create prep chart worksheets.

Use the filter Drop-down boxes that let you select from the options available. at the beginning of the page to select the Area*, Store and Date for which you'd like to view or generate the prep chart.

  • If a prep chart has not been generated for the day, the page will be titled Set Trend Parameters.

  • If a prep chart has been generated for the day, the page will begin with Sales Adjustment % at the top-left corner.

    The Summary tab displays the averages, adjustments and totals used to generate the prep chart.

Prep quantities are calculated by averaging the actual usage of the items for the past days selected by you when generating the chart. If the Prep Chart control is set to Yes, the averaged figures are adjusted with forecasted data.

Some of the attributes you'll encounter when generating or editing a prep chart are:

  • Number of days history to use: Allows you to select the number of days of past data that you want averaged when calculating the prep chart figures.

  • Based on last X: (where X is the number selected in Number of days history to use) Allows you to select the days that you would like to use in the calculation.

  • Calculation Method*: This attribute is available only if the POS system Point Of Sale system - the system/register used to bill customers and track sales. used by your organization supports the transmission of live data.

    • Menu Sales by Time Period: If your prep chart controls are set to use live period sales (override % of day values), this option will determine how the total prep quantity for the day, is distributed for each prep time.

    • Summary Sales by Day: This option will use the % of day distribution.

  • Sales Adjustment %: Lets you update your forecast by adjusting the average for all the items for the day by the percentage entered.

  • Adjust %: Lets you update your forecast by adjusting the average of individual items by the percentage entered.

    The Sales Adjustment % and Adjust % fields are automatically populated when the Prep Chart control in Inventory Reporting is set to use forecasted data.

TO GENERATE A PREP CHART:

  1. Open the Prep Chart Worksheet page.

  2. Select the Area*, Store and Date for which you want to generate the chart from the drop-down lists.

  3. Click on the Go button.

  4. Select the Number of days history to use from the drop-down list.

  5. Select the days to be used as trend days from the Based on last X drop-down list.

  6. Select the Calculation Method from the drop-down list.

  7. Change any of the Trend Dates by selecting them from the drop-down calendars, if required.

  8. Click on the Continue button.

  9. If you want to change the forecasted sales for all the items for the day by the same percentage:

    1. Make changes to the Sales Adjustment %* figure.

      The Sales Adjustment % is automatically populated and the field is disabled if the Prep Chart control in Inventory Reporting is set to Yes. However, you can override the figures by manually changing the percentage displayed.

    2. Click on the Apply button.

    The % entered will be modified by CLEARVIEW in the Adjust % column to obtain the nearest whole number of a package size most relevant to the quantity, for each item.

  10. Make changes to the Adjust % column to adjust the forecasted sales for individual items, if required.

    The Adjust % field is automatically populated when the Prep Chart control in Inventory Reporting is set to Yes. However, you can override the figures by manually changing the percentage displayed.

    The % entered will be modified by CLEARVIEW to obtain the nearest whole number of a package size most relevant to the quantity, for the item.

  11. If you'd like to override all the calculations for an item, enter the quantity you would like prepped in the Total column for that item.

  12. Click on the Save button.

    Adjustments can still be made to all the fields, except for the Sales Adjustment % field, once the worksheet is saved.

  13. Click on the OK button in the confirmation pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..

  14. Click on the Print Preview button or click on the Print Prep Chart tab to view and print the prep chart.

TO VIEW A PREP CHART:

  1. Open the Prep Chart Worksheet page.

  2. Select the Area*, Store and Date for which you want to view the chart from the drop-down lists.

  3. Click on the Go button.

  4. Click on the Print Preview button.

    OR

    Click on the Print Prep Chart tab.

The following information is displayed in the Print Prep Chart tab:

  • In the Inventory Item table:

    • Item: The inventory item to be prepped.

    • Prep Method: The package size of the inventory item referenced in the Day Total and Amount columns.

    • Day Total: The total quantity of the inventory item to be prepped for the day.

    • Amount: The quantity of the inventory item to be prepped at/for the prep time.

    • Time*: The amount of time required to prep the quantity listed in the Amount column.

    • Total Prep Time*: The total amount of time required to prep all the inventory items.

  • In the Menu Item table:

    • Item: The menu item to be prepped.

    • Prep Method: The units of the menu item referenced in the Day Total and Amount columns.

      The Prep Method for menu items will always be Each.

    • Day Total: The total quantity of the menu item to be prepped for the day.

    • Amount: The quantity of the menu item to be prepped at/for the prep time.

    • Time*: The amount of time required to prep the quantity listed in the Amount column.

    • Total Prep Time*: The total amount of time required to prep all the menu items.

  • Total Prep Time Required*: The total amount of time required to prep all the inventory and menu items on the chart.

    Total prep times are calculated assuming that one person is doing all the prep work.

TO EDIT A PREP CHART:

  1. Open the Prep Chart Worksheet page.

  2. Select the Area*, Store and Date for which you want to view the chart from the drop-down lists.

  3. Click on the Go button.

  4. Click on the Change Trend Parameters button to make changes to the trend dates.

  5. Select theNumber of days history to use from the drop-down list.

  6. Select the days to be used as trend days from the Based on last X drop-down list.

  7. Change any of the Trend Dates by selecting them from the drop-down calendars, if required.

  8. Click on the Continue button.

  9. Make changes to the Adjust % or Total columns as required.

  10. Click on the Save button.

To adjust the Sales Adjustment %, you will have to delete the chart and then generate it once again.

The Sales Adjustment % can only be changed if the Prep Chart control is set to Yes in Inventory Reporting.

TO DELETE A PREP CHART:

  1. Open the Prep Chart Worksheet page.

  2. Select the Area*, Store and Date for which you want to delete the chart from the drop-down lists.

  3. Click on the Go button.

  4. Click on the Delete button.

  5. Click on the OK button in the confirmation pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..

Associated Settings

  • Inventory Reporting controls whether forecasted data should be used to calculate prep quantities or not.

  • Prep Chart controls the inventory items that are included in the prep chart worksheet.
